A. Service Refusal: We reserve the right to refuse service to anyone in cases of disruptive behavior, disrespect, intoxication, non-compliance with our policies, or any situation that may jeopardize the safety, well-being, or harmonious environment of our holistic healing center. We are committed to providing a safe and respectful space for all visitors and practitioners.
B. Privacy and Confidentiality: Client information is entered either by the client or the practitioner into our booking system, where it remains stored. Only administrative personnel and practitioners working on such client shall have access to that information on an as needed basis.
C. Code of Conduct:
At AYNI Holistic Healing, we are committed to providing a safe and nurturing environment for all clients and practitioners. We value every individual's well-being and strive to create a space where everyone can experience healing and growth. To ensure a harmonious and respectful atmosphere, we kindly request all clients and practitioners to adhere to the following Code of Conduct:
- Respect: Treat everyone with kindness, consideration, and respect. This includes clients, practitioners, staff, and fellow visitors. Discrimination, harassment, or disrespectful behavior will not be tolerated.
- Confidentiality: Respect the privacy and confidentiality of all individuals. Do not share anyone's personal information or experiences disclosed during sessions without explicit consent.
- Safety: Ensure the safety and well-being of yourself and others. Follow any safety guidelines and procedures provided by practitioners and staff.
- Appointment Punctuality: Arrive at least 5 minutes early for appointments and sessions to ensure we can start on time. Notify the center at least 24 hours in advance if you need to cancel or reschedule.
- Cleanliness: Maintain a clean and hygienic environment. Dispose of waste and litter properly, and leave shared spaces cleaner than you found them.
- Personal Responsibility: Take personal responsibility for your well-being and healing journey. Follow practitioner recommendations and advice.
- Peaceful Atmosphere: Maintain a quiet and peaceful atmosphere within the center. Use headphones for music or videos and speak softly to respect others' experiences.
- Consent: Provide informed and voluntary consent for all treatments and therapies. Communicate openly with practitioners about any concerns or discomfort.
- Alcohol and Substance Use: The consumption of alcohol or recreational, mood altering substances on the premises, or during virtual sessions, is prohibited.
- Conflict Resolution: Address any conflicts or issues with practitioners or center staff in a respectful and constructive manner. If unresolved, you may contact our designated complaint resolution process.
- Children and Minors: If accompanied by children or minors, ensure their respectful behavior and supervision at all times.
- Compliance: Adhere to all center policies and guidelines as well as local, state, and national laws.
Failure to comply with this Code of Conduct may result in the termination of services or entry to the center. We appreciate your understanding and cooperation as we strive to create a space of healing, respect, and well-being for all.

D. Cancellation and Rescheduling: Cancelation or rescheduling must be done at least 24 hours before the beginning of the session or the cancellation fee of 50% the price of the session will be charged.
E. Payment and Pricing: We accept cash, Venmo, and all major Credit/Debit Cards. Please read carefully if your session is priced by the hour, or by the session. Some sessions will be priced based on the requirements of the service. Deposits are non-refundable as these are used to pay in advance for reservations and/or supplies needed.
F. Health and Safety: Please inform your service provider if there are any health concerns such as allergies, epilepsy, etc. in the event that we need to call for emergency service. It is your responsibility to ensure your safety and well-being. if we suspect that you are in danger of any kind we will call the necessary emergency services.
G. Informed Consent: Describe the importance of informed consent for various holistic healing treatments and therapies, ensuring clients are aware of the nature and potential risks of services.
H. Client Records:
- Secure Storage: Client records are stored in an electronic health record system.
- Limited Access: Access to client records is limited to authorized personnel only. This includes practitioners, administrative staff, and individuals involved in a client's care.
- Data Security: Electronic records are protected with passwords, encryption, and other security measures to prevent unauthorized access.
- Consistency: We maintain records in a consistent and organized manner, including client intake forms, treatment notes, consent forms, and any other relevant documents.
- Retention Period: We comply with North Carolina's regulations regarding the retention of health records, which require keeping records for 7 years after last session.
- Accessing Client Records:
- Client Access: Clients have the right to access their own health records. We ensure that clients can request and obtain copies of their records, subject to any applicable fees or restrictions.
- Practitioner Access: Practitioners and authorized staff should have access to client records only as necessary for the client's treatment or as required by law.
- Informed Consent: Before sharing client records with third parties, we shall obtain written informed consent from the client. Clearly explaining the purpose, recipients, and nature of the information to be shared.
- Healthcare Providers: Sharing records with other healthcare providers involved in the client's care is permissible and often necessary. We ensure compliance with HIPAA requirements for sharing protected health information.
- Legal Requirements: We are aware of and comply with legal requirements for sharing records, such as court-ordered disclosures or reporting requirements for specific conditions.
- Minimize Disclosure: When sharing records, we disclose only the minimum necessary information to fulfill the intended purpose.
- Maintain Confidentiality: We ensure that any sharing of records is done in a way that maintains the confidentiality and privacy of the client's health information.
- Audit Trail: We keep a record of who accesses or shares client records, when, and for what purpose. This helps maintain accountability.
8. *Complaints and Feedback:* Provide a process for clients to express concerns, complaints, or feedback and how these will be addressed.
9. *Scope of Services:* Clearly define the services offered and their scope, including any limitations or contraindications.
10. *Termination of Services:* Specify under what circumstances services may be terminated, such as non-compliance with policies or disruptive behavior.
11. *Client Responsibility:* Make clients aware of their responsibilities in the healing process, such as following practitioner advice and being respectful.
12. *Licensing and Qualifications:* Ensure all practitioners are appropriately licensed and qualified in their respective fields.
13. *Consent for Minors:* If applicable, provide policies and consent procedures for clients under the age of 18.
